Bookkeeping Engagement Options

We offer quarterly and monthly bookkeeping engagements depending on the size and activity level of the business. Quarterly bookkeeping is reserved for smaller businesses with lower transaction volume. Once activity reaches a certain point, monthly bookkeeping becomes necessary to keep the records accurate and useful.

Both options are available only when we also prepare the related tax return.

Quarterly Bookkeeping

Starting at $250/month

Best for smaller businesses with lower transaction volume that need periodic review, cleanup, and financial visibility.

Available only for lower-volume businesses below our transaction threshold. Larger or more active businesses require monthly bookkeeping.

Monthly Bookkeeping

Starting at $500/month

Best for growing businesses that need consistent financial visibility, cleaner records, and more timely reporting throughout the year.

How Our Bookkeeping Process Works

Our bookkeeping process is designed to be structured, collaborative, and efficient.

  1. We begin by coding transactions in the accounting software.
  2. We then reconcile the bank and credit card accounts.
  3. Once the records are updated, we send draft financials to the client for review.
  4. Along with the draft financials, we provide any transaction questions through our “ask my accountant” process.
  5. If the client has changes, we can implement them right away or include them in the next cycle depending on priority.
  6. At year-end, we review the books for 1099 filing requirements and finalize everything before tax preparation begins.
  7. Before the tax filing process starts, each set of books is reviewed by the Senior Tax Manager for final approval.

Accounting Software & System Support

We support multiple accounting systems depending on the needs of the client:

  • QuickBooks Online: Client pays for the subscription and can retain access to the file.
  • Xero: Our firm pays for the subscription and the client does not have direct access.
  • QuickBooks Desktop to Cloud Transition: We can assist clients in moving from QuickBooks Desktop to a cloud-based platform.
  • QuickBooks Enterprise: Larger clients who host their own QuickBooks Enterprise file are also supported, provided we have our own login credentials.

Bank & Credit Card Access Requirements

Clients are responsible for granting us access to the financial information needed to maintain the books properly.

For bank and credit card accounts, clients must provide access as external or limited users with the ability for us to:

  • Download statements
  • Review check copies
  • Access transaction detail needed for bookkeeping

We do not require bill pay authority by default. That can be added separately as an upgraded service if needed.

Communication & Responsiveness

Our team uses shared inboxes so requests can be handled by multiple team members when appropriate. This helps improve turnaround time and keeps communication moving, even when one person is unavailable.

That structure allows us to stay responsive while still maintaining internal coordination across the team.

Annual Bookkeeping Cadence

Our annual bookkeeping cycle is built around the natural tax and compliance calendar:

  • January: 1099 filing
  • February: BPOL filing
  • March / April: Annual tax compliance
  • April: BPPT filing
  • May through November: Major adjustments, cleanup, and process improvements
  • December: Year-end close process and 1099 vendor review

We also perform annual bookkeeping cleanup work—but only as part of supporting an ongoing quarterly or monthly engagement.

For new clients, this often means starting with a cleanup project to get the books current and then transitioning into an ongoing service model.
